Tenancy Administrative Executive

Requirements:-

  • Degree in Business Administration, Finance, Property Management or equivalent
  • Minimum 2 years administrative experience in commercial, residential or facilities managment
  • Familiar with tenancy administrative matters, tenancy renewals and legal documentations

Responsibilities:-

  • Overall responsible in rental collections and credit control matters of residential and commercial properties under the Group of Companies including debtor ageing and appropriate action to be taken pertaining to long overdue account (follow up, reminders, legal demands, etc.)
  • Collate monthly updates on rental collection, utility billing, occupancy status and ageing report
  • Follow-up closely with tenants on rental payments and other related utility payment
  • Process the refund deposits to tenant upon termination of tenancy
  • Liaison with legal advisors and initiate legal action whenever necessary
  • Maintain complete record of tenancy documentations
  • To ensure follow through on all tenancy agreements, ensuring that it is properly documented, signed and well kept
  • Process all incoming billings/invoices for payment to contractors, suppliers, etc
  • To assist in day-to-day operations of the properties under the Group of Companies including technical supervision or physical capability but not limited to:-
    a) the supervision of contractors and service providers at site
    b) the supervision and monitor of upgrading and rectification works at site
    c) regular checking and maintenance of properties and equipment owned or operated by the Company
    d) attend to customers or building management's complaint on issues relating to water leakage, clogging of pipelines, cleanliness at sites, air-con malfunction, landscape, etc
    e) monitoring tenant's fit-out works to ensure timely completion by tenant's contractors
    f) arrange new application of TNB meters at site, follow up on utilities billing by respective Authorities such as TNB, Syabas, Indah Water, etc
    g) attend to tenant check-in/check-out procedures/process and liaise with the respective persons/management office
